Fix Slow Printing on a Network Printer in Windows 11 & 10

If you're experiencing a delay in printing to a network printer, you're not alone. Slow network printing is a common issue for both home users and businesses, especially when multiple devices share the same printer. Documents may remain in the print queue for several minutes, print much later than expected, or take a long time to start printing even though the printer appears to be connected.

Several factors can contribute to a delay in printing to a network printer, including network congestion, outdated printer drivers, print spooler problems, incorrect printer settings, or communication issues between your computer and the printer. Fortunately, most of these problems can be resolved without replacing your printer or network equipment. In this guide, you'll learn the most common causes of slow network printing, practical solutions to improve printing speed, and best practices to keep your network printer performing efficiently.

Why Is There a Delay in Printing to a Network Printer?

A delay in printing to a network printer occurs when there is a gap between sending a print job and the printer beginning to print. In many cases, the printer is functioning correctly, but the print job is delayed because of network communication issues, software conflicts, or printer configuration problems. Identifying the root cause is the first step toward restoring normal printing performance.

Common Signs of a Slow Network Printer

A slow network printer doesn't always stop printing completely. Instead, it often shows warning signs before the problem becomes more serious.

Some of the most common signs include:

• Your network printer printing slowly after you click Print.

• Print jobs remain in the queue for several minutes.

• The printer takes a long time to respond.

• Documents print much later than expected.

• Large files take significantly longer to print.

• Printing speed varies throughout the day.

Recognising these symptoms early can help you troubleshoot the problem before it affects your productivity.

Main Causes of Network Printing Delays

There are several reasons why you may experience a delay in printing to a network printer. Understanding these causes makes it easier to choose the right solution.

Some of the most common causes include:

• Weak or unstable Wi-Fi connectivity.

• High network traffic from multiple connected devices.

• Outdated or corrupted printer drivers.

• Incorrect printer configuration.

• A busy or overloaded print queue.

• Temporary communication issues between the computer and printer.

• Print spooler service problems.

• Large or complex print jobs that require additional processing.

Once you understand what's causing the delay in printing to a network printer, the next step is applying the appropriate troubleshooting methods to restore faster and more reliable printing.

How to Fix Delay in Printing to a Network Printer

If you're facing a delay in printing to a network printer, start with the basic troubleshooting methods before making advanced configuration changes. In many cases, slow network printing is caused by temporary network interruptions, a busy print queue, or outdated printer software. The solutions below can help improve printing speed and restore normal performance.

Check Your Network Connection

A poor or unstable network connection is one of the most common reasons for a network printer printing slowly. Since the printer communicates over your local network, even small interruptions can delay print jobs.

Follow these steps:

• Make sure your computer and printer are connected to the same network.

• Restart your Wi-Fi router if the connection is unstable.

• Move the printer closer to the router if the signal is weak.

• Avoid downloading large files while printing.

• If possible, connect the printer using an Ethernet cable for a more stable connection.

A reliable network connection often reduces printing delays and improves overall printer performance.

Restart the Printer and Computer

Temporary software glitches can interrupt communication between Windows and the network printer.

Try these steps:

• Turn off the printer.

• Shut down your computer.

• Wait for about 30 seconds.

• Turn the printer back on.

• Restart your computer.

• Send a small test document to the printer.

A simple restart can refresh the connection and resolve temporary issues causing a delay in printing to a network printer.

Restart the Print Spooler Service

A print spooler delay can prevent print jobs from reaching the printer promptly. Restarting the Print Spooler service often clears stuck print jobs and restores normal printing.

To restart the service:

• Press Windows + R.

• Type services.msc and press Enter.

• Locate Print Spooler.

• Right-click it and select Restart.

• Send another print job to check whether the issue has been resolved.

Update Printer Drivers

Outdated or corrupted printer drivers can slow communication between Windows and your network printer.

Follow these steps:

• Visit your printer manufacturer's official website.

• Download the latest printer driver for your model.

• Install the updated driver.

• Restart your computer.

• Print a test page to verify the improvement.

Keeping your drivers updated helps reduce compatibility issues and improves printing performance.

Reduce Large Print Jobs

Large or high-resolution print jobs require more processing time and can increase the waiting time before printing begins.

To minimise delays:

• Print smaller batches whenever possible.

• Reduce image resolution if high quality isn't required.

• Compress large PDF files before printing.

• Close unnecessary applications that consume system resources.

• Print large documents during periods of low network activity.

These simple adjustments can significantly reduce the delay in printing to a network printer, especially in busy office environments.

Check the Print Queue

A congested print queue can slow down every print job sent to the printer.

Here's how to check it:

• Open Settings > Bluetooth & devices > Printers & scanners.

• Select your network printer.

• Click Open print queue.

• Cancel any failed or unnecessary print jobs.

• Retry printing your document.

If the queue clears successfully and printing returns to normal, the issue was likely caused by pending or stuck print jobs. If the delay in printing to a network printer continues after these basic fixes, the next section covers advanced solutions that can help improve network printer performance.

Tips to Avoid Slow Network Printer Performance

After resolving the delay in printing to a network printer, it's important to follow a few best practices to maintain consistent printing performance. Regular maintenance of your printer, computer, and network can help reduce future delays and ensure your print jobs are processed as quickly as possible.

Fix Slow Printing Over Network

If you want to fix slow printing over network permanently, focus on maintaining a stable network connection and keeping your printer software updated.

Here are a few recommendations:

• Use a reliable Wi-Fi connection or Ethernet cable whenever possible.

• Install the latest printer drivers and firmware.

• Restart your router periodically.

• Keep Windows updated with the latest security and performance patches.

• Avoid sending multiple large print jobs simultaneously.

Also, make sure you've selected the correct default device by following our guide on locate default printer in Windows.

Reduce Network Printer Lag

A noticeable network printer lag is often caused by heavy network traffic or unnecessary printer configurations.

To minimise printer lag:

• Keep your printer close to the Wi-Fi router.

• Disconnect unused devices from the network.

• Pause large downloads while printing.

• Clear the print queue regularly.

• Use the correct printer port and network settings.

Reducing network congestion allows print jobs to reach the printer more quickly.

Prevent Printer Delay on Windows

A printer delay on Windows can usually be avoided with routine maintenance and proper system configuration.

Follow these best practices:

• Restart the Print Spooler service if print jobs become stuck.

• Remove duplicate or unused printers from Windows.

• Set your preferred printer as the default printer.

• Update printer drivers regularly.

• Restart your computer after major Windows updates.

These simple habits help Windows communicate with your printer more efficiently and reduce unexpected delays.

If you haven't configured a primary printer yet, follow our guide on set your preferred default printer in Windows.

Keep Your Printer Performing Efficiently

Consistent printer maintenance plays an important role in preventing future printing problems.

For the best performance:

• Keep your printer firmware updated.

• Check your network connection regularly.

• Clean the printer according to the manufacturer's recommendations.

• Monitor the print queue for failed jobs.

• Test your printer after changing network or printer settings.

By following these recommendations after fixing the delay in printing to a network printer, you can improve printing speed, reduce network-related interruptions, and keep your printer running reliably.

Conclusion
